§2What Starter and Advanced actually include

OrangeHRM splits into two products that share a codebase but not much else. Starter is the open source edition: employee records, leave management, basic performance tracking, recruitment, time tracking, and a mobile app, all released under GPL-3.0 and free to install on your own server. According to OrangeHRM's own pricing FAQ, the company built Starter for "tech-savvy organisations of 20-50 employees" and calls it "completely free," which checks out against the GitHub repository: version 5.9 as of this writing, 36 tagged releases, 40 contributors (checked 2026-08-12).

Advanced is the cloud product. It adds onboarding workflows, a shift roster, a request desk, career development tracking, training records, employee surveys, an "Employee Voice" feedback module, discipline case tracking, and an AI assistant OrangeHRM calls Citra AI. None of that comes with a listed price. The pricing page asks for your country and employee count, then routes you to a sales call for a "custom quote." There is no per-employee number published anywhere on the official site as of 2026-08-12.

That structure matters more than it sounds. A lot of buyers land on OrangeHRM assuming the free version and the paid version are close cousins with a short upgrade path. In practice, Starter is the whole product for small self-hosted teams, and Advanced is a separate sales-led SaaS with modules Starter does not have at all.

Running Starter yourself means standing up your own server. The GitHub repository lists separate installation guides for Linux and Windows, a web-based installer, and a PHP and MySQL stack you are responsible for patching and backing up. OrangeHRM also ships a Docker image for teams that would rather containerize the deployment than set up the server stack by hand. None of that is unusual for open source HR software, but plan for it before you commit: "free" here means free of license cost, not free of setup or maintenance time.

OrangeHRM sits at 4.2 out of 5 on G2 from 40 reviews (checked 2026-08-12). G2's own AI-generated summary of those reviews credits the product for ease of use and for packing several HR functions into one platform, while flagging that "the interface design could be more modern and user-friendly." Individual reviews back that up in specifics: a payroll specialist reviewing the product in April 2026 wrote that OrangeHRM "lacks design, like a better accommodations of the options or sections," and separately said building reports is difficult. A May 2026 review from a security analyst was more upbeat about day-to-day use (applying for leave, mainly) but noted a smaller gripe: no dark mode.

SourceForge shows a similar picture with more texture: 4.1 out of 5 across 44 ratings, but the category breakdown is not flat. Ease, Features, and Design each average 3 out of 5, while Support averages just 1 out of 5. That gap between "the software itself is fine" and "getting help with it is not" is the most consistent theme across both review sites. A 2024 reviewer described hitting an "unauthorized" error and concluding that OrangeHRM wants users on a paid support subscription before it will resolve issues on the free tier, a complaint that lines up with the Support subscore rather than contradicting it.

None of this means OrangeHRM is a bad product. The core HR functions get consistently decent marks. The pattern across both platforms is narrower: people who just use the software are mostly satisfied, and people who need help from OrangeHRM directly, whether that is support or a sales quote, run into friction.

§4The pricing black box is not new

The quote-only pricing for Advanced is not a 2026 problem. A SourceForge reviewer wrote in 2014 that they were "up to email number 18 trying to get a price for the OrangeHRM Professional version" and still had not received one. A different reviewer the following year described a nearly identical experience, saying they tried "several times already" to get a quote for the professional version "although I explizitely specified all required modules." Both reviews are old, but the underlying process has not changed: the official orangehrm.com pricing page, as checked on 2026-08-12, still routes every Advanced-tier request through a sales form with no self-serve number attached.

ITQlick, a third-party software pricing site, estimates OrangeHRM Advanced at roughly $50 to $150 a month for a 10-person team, scaling to $500 to $1,500 a month at 100 employees, plus a separate implementation fee (checked 2026-08-12). OrangeHRM itself does not confirm or publish any of those figures anywhere on its own site, so treat ITQlick's numbers, or any other third-party estimate you find, as an educated guess rather than a quote.

If a published, non-negotiated price matters to you as much as the features do, that alone may be reason enough to look at BambooHR, which lists its per-employee pricing directly on its own site.

§5Who OrangeHRM actually fits

Starter fits a specific buyer well: a small, technically capable team, roughly 20 to 50 people by OrangeHRM's own description, that has someone comfortable installing and maintaining a PHP and MySQL application. It fits less well if payroll is the main thing you need. OrangeHRM's own feature list for both Starter and Advanced, as published on its pricing page, covers HR administration, employee management, leave, time tracking, recruitment, and (on Advanced) onboarding, career development, and surveys, but payroll processing is not one of the listed modules on either tier. A US business that needs payroll baked into the same tool should plan on running it separately or look elsewhere.

It fits poorly for a buyer who wants a cloud tool they never have to patch or back up themselves, transparent per-seat pricing they can budget against without a sales call, or strong built-in reporting.
